Cancellation and refund policy

Visit AGRS refund policy makes integral part of the contract. It applies to cancellations by the participantat report and thecancellation by the Organizer (including cases of force majeure). It is made available before ordering and must be accepted with Terms and conditions of sale. In the event of any discrepancy, the French version of the Refund Policy shall prevail.

Withdrawal policy (rider): Cancellations and substitutions

If you are no longer able to take part in the Aurora Gravel Rally Series event you have entered, for whatever reason, you can either cancel your entry, carry it over to the following year, or find another rider to take your place.

1) CANCELLATION OF RACE REGISTRATION

To avoid cancellation fees, we recommend that you make a substitution (transfer your registration free of charge).

If you wish to cancel your race registration, the fees below apply. Please note that cancellation fees for bike rentals with our partners and other additional options are in addition to the race registration cancellation fee.

For events lasting 5 days :

Consequently, cancellations and requests to transfer to subsequent editions will only be accepted if we can fill the place on the waiting list for the current edition. If the cancellation is accepted, the applicable fee is 400 Euros. Riders are responsible for any difference in entry fees if they are transferred to the next edition.

For events lasting 2 days :

<J-90 Cancellation possible (applicable fee CHF 80) or transfer to next edition (applicable fee CHF 50)
> J-90The Aurora Gravel Rally Series is an event that most riders prepare for over several months. Consequently, cancellations and requests to transfer to subsequent editions will only be accepted if we can fill the place on the waiting list. If the cancellation is accepted, the applicable fee is CHF 100. Riders are responsible for any difference in entry fees if they are transferred to the next edition.

Cancellation requests must be sent in writing (ride@aurora-gravel.com). Date taken into account: receipt by the Organizer.

Postponement is not cumulative If you fail to participate in the next edition, your registration will lapse.

Requests for cancellation upon presentation of a medical certificate will not be taken into account. However, the rider may request a transfer to the next edition. The request will be accepted if we can fill the place on the waiting list for the current edition. If the cancellation is accepted, a fee will be charged (400 euros for 5-day races and 80 CHF for 2-day races). Riders are responsible for any difference in entry fees if they are transferred to the next edition. To avoid cancellation charges, riders may make a substitution.

We strongly recommend that riders take out private travel insurance to cover cancellation costs.

Visit reimbursements are processed in the 60 days following cancellation.

2) RIDER INELIGIBILITY

No refund will be made if a rider's entry is cancelled by the race organizers due to ineligibility under the race regulations (e.g. if the rider is convicted of a doping offence, if he/she does not meet the age requirements).

3) SUBSTITUTIONS

If you have a rider who takes over your registration, the financial transaction between you and the other rider is privateThis is an agreement between the two of you concerning the price. Once you've received the funds from the other rider, you can transfer your registration via your Rider Dashboard :

Log in to your Dashboard with the email used for the purchase.
Go to "Transfer my registration.
Enter the email address of the person to whom you are transferring your registration.
Press the "Transfer my registration.

Note Once transferred, the registration legally belongs to the beneficiary, and you waive all financial claims. Make sure you have received payment from the person to whom you are transferring the registration.

4) EVENT MODIFICATIONS AND CANCELLATIONS BY THE ORGANIZER

If the event, or any part of it, is cancelled, postponed, shortened or modified in any way, or if any of the equipment, goods or services related to the event are no longer provided, whether due to force majeure, legal restrictions, litigation, security reasons, failure of service providers or any other reason or cause, registration fees and all other fees paid will not be refunded.
